To get more done change your daily habits

When it comes to getting things done, I have the same pressures on my time as everyone else.

Children to organise, my own business and the challenge of preparing myself for the Great North Run last weekend. So why do I push myself to the limit and what is that limit?

First of all, I’ve decided that each one of us has the same 24 hours in the day and try as I have I can’t squeeze 25 hours out it. What I can do is determine my priorities.

In his book, Deep Work – rules for focused success in a distracted world, Cal Newport suggests that too much time is being busy doing shallow work (work that serves no real contribution to what we want to achieve).

By this he means, stupid amounts of time checking Facebook and other social media during the day. A desire to read and respond to the constant stream of emails arriving in the inbox (other people’s priorities).

I recommend the book or the Audible version which I have been listening to at 1.5 speed. See, I knew I could squeeze 90 minutes out of an hour – lol. He provides really helpful insights into how to work deep to get things done.

Secondly, I determined what I wanted to achieve and then narrowed it down to intense focus. To do this as Cal suggests, I needed to appreciate that only 20% of possible time spent on a project would really make a difference and I set about determining what that 20% was. We are easily distracted in each working day and naturally drift to doing stuff that is time-consuming and enjoyable rather than the activity that really makes a difference.

Finally, I set up a daily routine and stuck to it, until it became a habit. That was the most challenging part. Other habits pull us away, like a magnet, from the changes we need to make in organising our day.

Traditionally, when entrepreneurs come to this conclusion they default to the employment route. They look to add someone to their payroll.

This is 2016. We live in the digital age and scaling a business is much more effectively done with specialist skills as and when they need them.

Staying Focused in 2016

I work with many people who need to stay focused in order to achieve that which they set out to achieve. I would like to think that, as a virtual personal assistant (VPA), I help entrepreneurs meet this challenge.

And it’s a challenge for everybody who wants to be successful because, let’s face it, there are so many distractions that can dilute our effectiveness. Pull us off course.

In his post, “How to Stay Focused”, Brendon Burchard nails it, even suggesting that we actually make fewer decisions and that we stop browsing. Heaven forbid, this is probably how you found my post.

One of the biggest challenges, covered in Brendon’s excellent video, is to get action orientated entrepreneurs to say no more often than they say yes.

When is it time to get a personal assistant?

Many people wait too long, for the question they ask is ‘when can I afford to get a personal assistant’, which is not the question in the headline.

In business, thinking we can do it all ourselves, holds people and ultimately the business, back. It’s so easy to get suckered into working IN the business rather than ON the business. We lose site of the personal and unique difference we make to the business. Perhaps it’s our creativity, the way we inspire people or our sales ability. But all too often we end up managing the minute detail of the way ‘others’ are working in the business or find ourselves distracted – engaged in activities that are not income producing.

Not only does this rob our employees of their need to feel responsible and to grow, but we mis-direct our own time to the mundane and un-satisfactory work. The drive and energy we have when we are at our most productive is sapped from us and the business morphs into becoming a smaller version of what it could be.

So, when is it time to get a personal assistant? Gary Vaynerchuk is a very successful entrepreneur with no more time in his day than anyone else.  I Love his AskGaryVee Show on Youtube and in this particular video, he shares the turning point for him. It wasn’t an answer I was expecting. Cut to 14.04 on the timeline if you want to go straight there.

So whenever you hear someone or yourself saying, “I don’t have time for this”, or “When do you find time to do that?” or “I need to get round to doing so and so” … then perhaps then is the right time to decide to scale up the business and ask for help.

As for the financial issue. No one said you have to employ anyone, even part time. Far more sensible to outsource the role of personal assistant, to someone with the experience to make a difference at a budget you can afford. Then scale it as you become more productive.

As well as the time a PA releases, an experienced personal assistant comes with an experience of working with business owners and entrepreneurs who are already growing their business. Such insights are often worth many times the fee you pay.
